Terms for renting the RothKo Meeting Rooms (RMRs)

Room Charges

  • Unless otherwise stated, the complete price quoted is subject to VAT
  • A deposit of half the room rental is payable when booking. The deposit will be refunded in full if the booking is cancelled no later than 31 days prior the meeting date. Only half the deposit will be refunded if meeting rooms are cancelled within 31 days.
  • Bookings will not be confirmed until a deposit has been received.
  • The balance of the room rental, plus the full cost of any additional agreed charges, must be made prior to the meetng taking place.
  • The room booked is available from 08:30 and 18:00 for full and half-day rentals. A half-day rental is five hours and full day rental is eight hours. No access to meeting room prior to 8:30 and all events must end by 18:00. Other arrangements may be made on a case-by-case basis.
  • Rental by the hour is for evening useage between 18:00 to 22:00. (All events MUST promptly conclude at 22:00 There is no exception to this rule.)
    Half-day rental is £150
    Full-day rental is £275
    Evening rental is £45/hour
  • A RMRs Rental Agreement is not valid until the deposit fee has been paid.
  • Credit cards payments are preferred.

The Rooms

  • Rented facilities include the meeting room with lounge and two doorways from the hall into the rooms. This agreement creates no rights to use other areas of the building, except that event participants may use the RMRs restrooms on the mezanine floor.
  • The renter will perform cleaning after their event. All equipment will be cleaned and returned to the proper space; rubbish will be bagged and ready for removal; and any other action shall be performed to ensure that the room is left in the same condition as found prior to the event.
  • failure to clean any portion of meeting room immediately following the end of the event will result in a minimum charge of UK£50 against the renter for cleaning to be performed by RothKo Meeting Rooms.
  • The renter is responsible for all breakage and damage done to the building, furniture, appliances, rugs, kitchen equipment, etc. as a result of their event.
  • The renter agrees to defend, indemnify and hold harmless RMRs, its employees and agents from and against all liability, claims, suits, damages, expenses and losses, including expenses of litigation, in any manner resulting from or connected with any loss or damage to any property or person caused by or resulting from any act or omission of the Renter or the Renter's guests or visitors during an event.

General

  • Please note that in the interest of security, a delegate list is required 24 hours prior to the booking.
  • Notices, flipchart sheets, etc, must not be stuck on the walls of the meeting rooms. Any damage caused by misuse in this way will be charged to the client.
  • No tacks, nails or tape will be used to hang any posters or displays.
  • Rooms will be set up in accordance with the instructions received.
  • No food or beverages may be consumed on the premises unless booked and paid through RMRs.
  • No alcohol is to be consumed on the premises without prior approval and arrangement with RMRs.
  • No smoking is permitted anywhere in the RothKo Meeting Rooms. Outdoor smoking is permitted only in designated areas.
  • No animals or pets are permitted anywhere in the RMS unless by specific prior approval.
  • Noise Restrictions are in place.
  • All individuals/organizations using the RMR are responsible for leaving all furniture and property in its original condition. In addition, any rubbish shall be properly disposed in the bins provided and the room returned to its prior condition.

Car Parking

  • There is no on-site car parking available with RMRs.
  • Parking only in designated areas. No parking is allowed outside the front of the building, unless for dropping off or uplifting. Parking space at the Chelt Walk Pay-and-Display Car Park is available for attendees and visitors.
